The Role 

Dates:  August 22, 2025 -August 24, 2025

We are looking for a highly organized and detail-oriented individual to support the Manager of Events in the planning and execution of the USTA Foundation’s Opening Night Gala. This role is instrumental in ensuring the event runs smoothly from preparation through post-event breakdown.

  • Provide administrative support in the lead-up to the event, including printing materials, assembling gift bags, managing guest lists, and coordinating logistics.
  • Assist with event setup on-site, ensuring all elements are in place and ready for guests.
  • Offer on-the-ground support during the Gala, responding to needs as they arise and helping to ensure a seamless guest experience.
  • Participate in post-event breakdown and cleanup, ensuring all materials are accounted for and properly stored.

 

Who You Are

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Prior experience in event planning or administrative support is preferred.
  • Comfortable working on-site and performing physical tasks (e.g., lifting, moving materials).
  • Flexible schedule, with availability the day of the Gala and during the days leading up to the event.
  • A positive, team-oriented attitude and a willingness to take initiative.
